Liftbrief / Comparisons
How do you compare private jet charter quotes fairly?
Normalise the mission first, then the charges, then the contractual obligations. NBAA’s charter consumer guide identifies costs beyond flight time, including positioning-related charges, fuel, waiting, crew accommodation, handling and taxes. A headline hourly rate is therefore an incomplete comparison input. (nbaa.org)
What belongs in a charter quote comparison template?
Use the following original worksheet for every supplier:
| Field | Required entry |
|---|---|
| Quote evidence | Issue time, expiry, document version and supplier contact |
| Mission | Airports, dates, local times, time zones, passengers and baggage |
| Aircraft | Model, configuration, proposed registration or assignment process |
| Flight assumptions | Non-stop or planned stop; estimated and billable time |
| Positioning and minimums | Included, separately priced or unresolved |
| Other charges | Fuel, crew, airport, catering, connectivity and ground services |
| Taxes | Included amount or stated calculation basis |
| Conditional charges | Trigger, charging basis, approval requirement and any cap |
| Changes and cancellation | Applicable deadlines, charges and refund mechanism |
| Substitution and recovery | Permitted changes, acceptance rights and replacement-cost responsibility |
For each charge, use one of four labels: included, priced separately, conditional, or unspecified. “Unspecified” must not become zero in the spreadsheet.
How can the cheaper headline quote become the more expensive mission?
The following figures are an arithmetic teaching example, not market prices or actual supplier quotations. Both proposals are assumed to cover the same basic mission; taxes and the listed uncertainties still require reconciliation.
| Illustrative charge | Proposal A | Proposal B |
|---|---|---|
| Headline flight charge | USD 24,000 | USD 33,000 |
| Positioning | USD 5,000 | Included |
| Crew accommodation and airport charges | USD 2,000 | Included |
| Known pre-tax subtotal | USD 31,000 | USD 33,000 |
| De-icing | Unpriced | Assumed included for this example |
| Applicable taxes | Not yet reconciled | Not yet reconciled |
| Replacement-cost responsibility | Not yet established | Not yet established |
The headline difference is USD 9,000; the known pre-tax difference is USD 2,000. Neither establishes a final saving. The buyer still needs the tax treatment, weather-related exposure and delivery terms.
Which US private jet charter taxes need checking?
IRS Publication 510 states that taxable passenger air transport is subject to a 7.5% percentage tax and, where applicable, a domestic-segment tax. Its 2026 adjustment sets the segment amount at USD 5.30; for charter, the calculation reflects the passengers transported on each taxable segment. Exemptions and special rules exist, including rural-airport provisions. (irs.gov)
Ask the quoting party to identify the taxable base, passengers, segments and any claimed exemption. Do not apply a blanket percentage to every invoice item or assume the same treatment across charter, fractional access and owner operations. Have transaction-specific questions reviewed by a qualified tax adviser. (irs.gov)
