Liftbrief / Do-it-yourself game plans
How should a company make this a repeatable private-travel policy?
Turn the workflow into an approval standard, not a restriction that staff must improvise around.
Our proposed policy should specify:
- Who may request, approve, sign and pay for travel.
- Which missions require a commercial alternative.
- Minimum counterparty and insurance evidence.
- When legal or aviation-specialist review is mandatory.
- Maximum prepaid exposure and who can approve exceptions.
- Required cancellation and recovery review.
- Which substitutions require renewed approval.
- Emergency spending authority and escalation contacts.
- Rules for itinerary confidentiality and records retention.
- Post-trip invoice review and periodic supplier reassessment.
Use NBAA’s aircraft-use policy structure as a starting point, while updating legal and tax provisions for your organisation. Do not copy an old sample policy without review. (nbaa.org)
