What should the result sent to finance look like?

Use this short format:

Decision: [booking / programme purchase / renewal]
Evidence date and document versions: [details]
Score: [x]/45
Status: [incomplete / hold / define / compare / conditional / approval review]
Known expenditure: USD [amount]
Unpriced or contingent exposure: [items—not zero unless confirmed]
Three unresolved issues: [issue, owner, deadline]
Recommended action: [proceed for approval / obtain clarification / change option / decline]
Required later checks: [operator, aircraft, crew, itinerary or payment confirmations]

For programme commitments, also show capital or prepaid cash separately from expected annual expenditure. Do not count a possible future refund or resale value as cash already recovered.

What can you send your incumbent broker or programme provider?

We are preparing the approval record for this decision. Please confirm the governing proposal and agreement versions, contracting entity and payee, operating-carrier disclosure process, mission assumptions, included and conditional charges, cancellation and substitution provisions, and recovery responsibilities. For any item not yet available, please identify who will provide it, when it will be available, and what happens if the eventual answer does not meet our requirements. Please distinguish contractual commitments from best-efforts assistance.

For covered brokered flights, Part 295 provides a basis for requesting total cost and relevant third-party-charge disclosures; it does not require every individual cost component to be itemised. Have counsel resolve any question about applicability or contractual rights. (ecfr.gov)
